Instructors
This page explains how to manage your instructor roster — profiles, photos, bios, and login accounts — and how this page relates to Staff & Roles.

Before you start
Managing instructors is manager-only. This is the roster you assign as Default instructor on a class type, or Instructor when scheduling a class or booking an appointment — an instructor must exist here before they can be assigned anywhere.
Instructors vs. Staff & Roles — which one do I use?
Both Instructors and Staff & Roles can create a login account with the built-in Instructor role, and it's easy to create one from the wrong place. They are not the same thing:
- Instructors (this page) creates a login account and an instructor profile — bio, photo, and a weekly class count — in one step. Only an account created here appears as an option in the instructor picker when scheduling a class, setting a class type's default instructor, or booking an appointment.
- Staff & Roles → Add Staff with the role set to Instructor creates only the login account. It does not create an instructor profile, so that person won't have a bio or photo and won't appear in any instructor-assignment dropdown until they're also added from this page.
If you're adding someone who will actually teach classes or take appointments, add them from the Instructors page, not from Staff & Roles. Use Staff & Roles instead only if you specifically need to assign them a custom role rather than the built-in Instructor role.
Managing the instructor roster
- Go to Instructors in the left sidebar (under People).
- Click + Add Instructor.
- Fill in:
- Full name
- Email — used to log in
- Temporary password — at least 8 characters. There's no invite-email flow; share it with the instructor directly.
- Bio (optional) — a short description.
- Click Save.
The new instructor appears in the list with their name, email, an Active badge, and their class count for the current week (Monday–Sunday).
Editing an instructor
Click any row to open it. You can change the Full name and Bio — email and password can't be changed from this modal once the account exists.
Adding a photo
- Open an existing instructor for editing (photos can't be added while creating a new one — the instructor needs to exist first).
- Click the photo icon and choose an image.
- It uploads automatically and replaces any previous photo.
An instructor without a photo shows a colored initials avatar instead.
Deactivating an instructor
- Find the instructor in the list and click Deactivate.
- Confirm.
Deactivating is a soft delete — their account can no longer log in, and they stop appearing as an option when scheduling new classes or appointments, but their history (classes they've taught) is untouched. Click Reactivate on a deactivated row to bring them back at any time.
Removing an instructor
- Find the instructor in the list and click Remove.
- Confirm.
Removal is permanent — it also deletes their login account — and cannot be undone. Agon blocks removal if the instructor has any scheduled classes tied to them; deactivate instead in that case.
Searching and pagination
Use the search box to filter by name, email, or ID. The list is paginated (12 per page); the search box only appears once you have at least one instructor, or while you're actively searching.
What if something goes wrong?
"This email is already in use" when adding an instructor Every login account in Agon — client, staff, or instructor — needs a unique email. Use a different email, or check whether this person already has an account (as a different role) under Staff & Roles.
I can't remove an instructor Agon blocks removing an instructor who has scheduled classes tied to them. Deactivate instead — it hides them from new scheduling without touching their history.
An instructor I added from Staff & Roles doesn't show up when I try to assign them to a class This is expected — see Instructors vs. Staff & Roles above. Add them from this page instead; they'll need a second account created here (or ask them to use different credentials) since the Staff & Roles email is already taken.
A photo upload failed Try again — a failed upload leaves the previous photo (or the initials avatar) in place; nothing is lost. Confirm the file is a real image and not unusually large.
