Settings
This page explains every setting available in Agon and what each one does.
Navigation label — Settings: EN: Settings · IT: Impostazioni · FR: Paramètres · DE: Einstellungen · ES: Configuración · PT: Definições · NL: Instellingen · PL: Ustawienia · TR: Ayarlar
Go to Settings (IT: Impostazioni) in the left sidebar. Only studio managers can access Settings.

Invoicing
IT: Fatturazione · FR: Facturation · DE: Rechnungsstellung · ES: Facturación · PT: Faturação · NL: Facturering
| Setting | EN | IT | FR | DE | ES |
|---|---|---|---|---|---|
| Country | Country | Paese | Pays | Land | País |
| Tax ID | Tax ID | Partita IVA / Codice Fiscale | Numéro de TVA / SIRET | USt-IdNr. / Steuernummer | NIF / Número de IVA |
| Default VAT rate (%) | Default VAT rate | Aliquota IVA Predefinita | Taux de TVA par Défaut | Standard-MwSt.-Satz | Tasa de IVA Predeterminada |
These drive which invoice template Agon uses when generating an invoice for a payment, and the default VAT rate is applied automatically to new EU invoices when no rate is entered manually on the invoice itself — it only applies to EU countries. Set your Country first; it decides which Tax ID format and invoicing rules apply to your studio (for example, a Spain-based studio uses a NIF/VAT number and Spanish invoicing rules — this section doesn't assume any one country or currency).

Cancellation window

| Late cancellation deducts credit | Late cancellation deducts credit | La cancellazione scala un credito | L'annulation tardive déduit un crédit | Späte Stornierung zieht Guthaben ab | La cancelación tardía deduce crédito |
Example: With cancellation window set to 2 hours, a client who cancels a 10:00 AM class before 8:00 AM gets their credit back. Cancelling at 9:30 AM loses the credit (if late cancellation deducts credit is enabled).

| Late cancellation fee | Late cancellation fee | Penale cancellazione tardiva | Frais d'annulation tardive | Gebühr für späte Stornierung | Tarifa de cancelación tardía |
| No-show fee | No-show fee | Penale mancata presentazione | Frais d'absence | No-Show-Gebühr | Tarifa por inasistencia |
(Locale keys: settings.lateCancelFee / settings.noShowFee.)
These are the studio-wide default fee amounts. They apply automatically only when:
- A client cancels a booking inside the cancellation window (a "late cancellation") and your Late cancellation deducts credit setting is enabled, or
- A studio manager or instructor explicitly marks a booking as a no-show at check-in.
A fee never triggers on its own just because it's set here — it always requires one of the two triggers above to actually fire.
Each membership type can override either fee for its own members (see Memberships — fee overrides). The resolution order is: membership type override → studio default (this section) → no fee if neither is set.
How the fee is recorded: a fee is not an automatic card charge. It's recorded as a Payment row
(provider: "system", notes: "no_show_fee" or "late_cancel_fee") so it appears in the client's
payment history and in your Reports revenue figures — but your studio still needs to actually
collect it from the client (cash, card terminal, added to their next invoice, etc.) through your own
process.

AI Assistant
Go to Settings → AI Assistant (IT: Assistente AI · FR: Assistant IA · DE: KI-Assistent · ES: Asistente IA · PT: Assistente de IA · NL: AI-assistent). Manager only.
The AI Assistant runs on your studio's own AI provider key (Google Gemini or Groq) or on a local model. The top of the tab shows its current state:
| Status | Meaning |
|---|---|
| Key active · provider | Your own provider key is saved and working. |
| Active · local model | A local model (Ollama) is configured on this computer. |
| Active · key from server configuration | A key was set in Agon's configuration file instead of here. |
| Not configured · basic mode | No provider is connected. The assistant can only search the documentation. |
To connect a provider:
- Go to Settings → AI Assistant.
- Choose a provider under AI Provider. Use the Get a provider API key link if you don't have a key yet.
- Paste the key into API Key and click Verify & Save.
To replace the key or switch provider later, click Change next to the Key active badge. To stop using AI, click Remove key and confirm: the key is deleted from your studio's database and the assistant switches to basic mode immediately. If the key may have leaked, also revoke it in your provider's console. The full step-by-step guide, including the privacy notes and the local-model option, is How to set up the AI Assistant.
What if something goes wrong?
I get an error saying the key isn't valid Check that you copied the whole key with no extra spaces and picked the matching provider, then try again. Nothing changes until a key is accepted.
The assistant only shows help articles No AI provider is connected, so the assistant is in basic mode. Add a key as described above.
License
Go to Settings → License. Manager only.
Agon itself runs on a paid subscription — separate from a client's own membership at your studio. At checkout on the Agon website you receive a license key; pasting it here is what keeps your installation unlocked.
The top of the tab shows two badges:
| Badge | Meaning |
|---|---|
| Not configured / Configured | Whether a license key has been saved here at all. |
| Unchecked | No check has run yet against a saved key (for example, right after a fresh install with no key pasted in). |
| Active | The last background check confirmed your subscription is in good standing. |
| Problem | The last check couldn't confirm an active subscription — a failed payment, an unreachable license server, or a key that wasn't recognized. |
Agon checks your key automatically in the background roughly every 8 hours, and immediately again the moment you save a new one here, so you don't have to wait for the next scheduled check to see whether it worked.
To add or replace your key:
- If you don't have a license key yet, click Get a license key to open the Agon pricing page in your browser and complete checkout.
- Paste the key into the License key field.
- Click Save.
The 72-hour grace period
If a check comes back as Problem — a card payment failed, a brief internet outage kept the check from completing, whatever the cause — Agon doesn't lock you out immediately. You get a 72-hour grace period, shown on this tab as the exact date and time it ends, to fix the underlying issue (retry the payment, restore your internet connection, paste in a corrected key). Only once that window passes without the subscription coming back as active does Agon lock the backoffice, mobile app, and booking widget — and even then, pasting in a working key and saving unlocks everything again right away.
Your data is never held hostage
Exporting your studio's own data — client lists, bookings, reports, invoices, your full GDPR export, and on-demand backups — stays available at all times, even while the license is locked past its grace period. A lapsed subscription can lock you out of using Agon day-to-day; it never locks you out of your own data.
What if something goes wrong?
My studio is locked and I can't get past the License tab This is expected once the 72-hour grace period has passed — every other screen is blocked until the subscription is active again. Paste in a corrected key (or a new one, if you've just completed checkout again) and click Save; the tab re-checks immediately, and the rest of the app unlocks as soon as the check comes back active.
I need my data but the license is locked Use any export (client list, reports, GDPR export, or an on-demand backup) — these stay available regardless of license status. See the GDPR guide for the full-data export, and Reports for the CSV exports.
I saved a key and the status still says Problem The background check runs again right after saving, so give it a moment and reopen the tab. If it still says Problem, double-check you copied the whole key with no extra spaces, and confirm your subscription is actually active on the Agon pricing site.
Privacy
Go to Settings → Privacy (IT: Privacy · FR: Confidentialité · DE: Datenschutz · ES: Privacidad · PT: Privacidade · NL: Privacy). Manager only.
Error reporting
The toggle is labelled Send error reports to help fix bugs.
When this is on and something breaks, Agon sends the technical details of the error (what failed and where in the code) to Agon's developer, through the error-tracking service Sentry, hosted in the EU. Names, email addresses, phone numbers and other personal data are removed before anything leaves your computer. Reports are not anonymous: each one carries your studio's ID and the Agon version, so they can be grouped by installation.
- It is off by default. Nothing is sent unless you turn it on.
- Your choice also applies to your studio's mobile app and your website widget: they send error reports only if you turned this on.
- You can turn it off at any time, and it stops immediately.
If the tab says error reporting is not available in this build, your copy of Agon has no error reporting built in and the setting has no effect.
See the GDPR guide for exactly what is sent.
Danger Zone
IT: Zona Pericolosa · FR: Zone de danger · DE: Gefahrenzone · ES: Zona de peligro · PT: Zona de Perigo · NL: Gevarenzone
Shown at the bottom of the Studio tab, in its own red-bordered card — only for a full-access manager (a manager account with full access, not every manager or instructor).
Reset Studio
IT: Reimposta Studio · FR: Réinitialiser le studio · DE: Studio zurücksetzen · ES: Restablecer estudio · PT: Redefinir Estúdio · NL: Studio resetten
This permanently wipes every client, booking, membership, payment, and every other studio record, and restarts the app at the first-time setup wizard — for example if you're decommissioning a studio or starting over from scratch during testing.
- Click Reset Studio.
- Enter your current password.
- Type the studio's exact name to confirm (shown in the dialog), e.g. "Type "your studio name" to confirm".
- Click Reset Studio to confirm.
Agon takes an automatic backup right before wiping anything, using the same mechanism as the nightly backup job — so a mistaken reset can still be recovered from that backup file. The reset itself, however, cannot be undone from within the app once confirmed.

What if something goes wrong?
I changed the timezone and now class times look wrong Change the timezone back to its previous value and restart the backend.
I don't see a "Back up now" button or a backup status anywhere in Settings That's expected — there's no manual backup control on this page. Agon backs up the database automatically overnight and right before an auto-update installs, and also right before a Danger Zone reset. There's currently no way to trigger an extra backup on demand from the app.
