Managing Classes
This page explains how to create class types, schedule classes on your calendar, manage the roster, and cancel classes when needed.
How class scheduling works
Agon uses a two-step system:
- Class Types — define a reusable class type (e.g. "Vinyasa Flow") with its default settings. In Italian: Tipi di lezione.
- Scheduled classes — place that class type on your calendar on specific dates and times.
This means you set up each class type once, then schedule as many instances as you need without re-entering all the details each time.
Creating a class type
Before you can schedule a class, you need to create a class type.
- Go to Class Types in the left sidebar. In Italian: Tipi di lezione.
- Click + New type. In Italian: + Nuovo tipo.
- Fill in the details:
- Name — the class name your clients will see (e.g. "Pilates Mat", "HIIT", "Vinyasa Flow")
- Description — a short optional description
- Duration (min) — how long the class runs, in minutes (e.g. 60)
- Default capacity — maximum number of spots available (you can override this per session)
- Default instructor — pre-selects an instructor when scheduling; can be changed per session
- Colour — choose a colour for this class type on the calendar view
- Click Save class type. In Italian: Salva tipo di lezione.
The class type is now available to use when scheduling classes.
Editing a class type
Go to Class Types, find the type, and click Edit (pencil icon). Changes only affect future classes you schedule — they do not update existing scheduled classes.
Deactivating a class type
If you no longer run a particular class type, click the deactivate option. It will no longer appear when scheduling new classes. Existing scheduled classes are not affected.
If you want it gone from the list entirely rather than just hidden from new scheduling, you can also Remove it from the Removed tab — this never gets blocked by past or upcoming classes that used it, and it can always be brought back with Restore.
Scheduling a single class
- Go to the Calendar view. In Italian: Calendario.
- Click the Schedule class button (top right), or click directly on a time slot in the calendar. In Italian: Pianifica lezione.
- Select a Class type from the dropdown. The fields are pre-filled from the class type.
- Set the details for this specific session:
- Date — the date of the class
- Start time — the exact start time. In Italian: Ora di inizio.
- Duration (min) — duration in minutes
- Capacity — override the default if needed
- Instructor — change the instructor for this session
- Notes — internal notes visible only to you and instructors
- Click Schedule class. In Italian: Pianifica lezione.
The class immediately appears on the calendar and becomes visible and bookable to your clients in the mobile app.
Scheduling a recurring class
If you run the same class regularly — for example, every Monday and Wednesday at 7:00 PM:
- Click Schedule class on the calendar and select the Recurring class tab. In Italian: Lezione ricorrente.
- Select a class type and set the time, duration, capacity, and instructor.
- Choose the days of the week the class runs (e.g. Monday, Wednesday).
- Set the first date and end date for the recurring series.
- Click Schedule classes. In Italian: Pianifica lezioni.
Each session is created individually. You can later edit or cancel any single session without affecting the rest of the series.
Tag-Restricted Classes
You can reserve a class type or a specific session for clients who carry a particular tag — for example, limiting a "Members Only Spin" class to clients tagged "Unlimited Plan". Once a restriction is set, only clients with that tag can book the class; everyone else still sees it on the calendar but can't book it themselves.
Restricting a class type
- Go to Class Types and open a type for editing (or create a new one).
- In the Restrict to tag field, select the tag the class should require. Choose No restriction to leave it open to everyone.
- Click Save class type.
Every new session you schedule from this class type inherits this restriction automatically. The class type list shows a small colored badge with the tag name on any restricted type.
Restricting a single or recurring session
The same Restrict to tag field appears on the Schedule class form (both the single and recurring tabs) and on the edit panel for an existing session:
- When scheduling from a restricted class type, the field is pre-filled with the type's tag — change it or set it to No restriction to override just this session (or series), without changing the class type itself.
- Editing an already-scheduled session lets you add, change, or remove the restriction at any time, independently of its class type and of other sessions in the same recurring series.
What clients see
A tag-restricted class shows a small colored badge on the calendar naming the required tag, so clients know upfront a class is limited. A client without the tag can still view the class details but gets a clear message when they try to book — for example, "This class is reserved for clients tagged 'Unlimited Plan'" — naming the exact tag they're missing.
Removing a tag from a client does not cancel bookings they already made for classes that required it — the restriction only applies at the moment of booking.
Booking a restricted class for a client (manager override)
From the desktop application, you can still book a client into a restricted class even if they don't currently have the required tag — useful when you're adding the tag at the same time you're booking them in. When you select a restricted class for a client who lacks the tag, a confirmation prompt appears naming the missing tag. Confirming books the client in anyway, without requiring you to leave the booking screen to assign the tag first.
Running a class online (Zoom)
You can also mark a single (non-recurring) class as Online (Zoom) when creating or editing it, so Agon automatically creates and manages a Zoom meeting for it. See Running Online Classes with Zoom for the full setup guide, including how to connect your Zoom account and why recurring classes can't be marked online yet.
Editing a scheduled class
- Click on the class in the Calendar view.
- A detail panel opens on the right. You can see the start time, end time, capacity, status, and notes.
- To cancel the class, click Cancel class. In Italian: Cancella lezione.
Cancelling a class
- Click on the class in the Calendar view.
- In the detail panel, click Cancel class. In Italian: Cancella lezione.
- Confirm the action.
What happens immediately:
- The class status changes to Cancelled
- Every client who had a booking for this class has their booking automatically cancelled
- Credits that were deducted for those bookings are refunded to each client's membership
- Every affected client receives a push notification
- The waitlist for the class is cleared
Cancelled classes remain visible on the calendar so you have a complete record.
Frequently asked questions
How do I create a new class? Go to Class Types → click + New type → fill in the details → click Save class type. Then go to Calendar → click Schedule class → select the class type → click Schedule class.
I scheduled a class at the wrong time. Click on the class in the calendar. The detail panel opens — note the current settings. Cancel the class and create a new one with the correct time.
Clients are not seeing a new class in the app. Check that the class status is Scheduled (not Cancelled or Completed) and that the class date is in the future.
How do I schedule the same class every week? Use the Recurring class tab in the Schedule class modal. Set the days of the week, first date, and end date.
How do I see who booked a class? Click on the class in the Calendar view to open the detail panel. The panel shows the capacity and current booking count.
A client says they can't book a class. Check whether the class has a tag restriction — look for the colored badge on the class in the Calendar view or on the class type in Class Types. If it's restricted, open the client's profile under Clients and confirm whether they currently carry the required tag. If they should have access, either assign them the tag (see Tags) or book them in yourself from the desktop app and confirm the override prompt when asked.
A class should show a tag-restriction badge but doesn't. The restriction may have been cleared on that specific session even though its class type still has one — restrictions set on a class type only apply to new sessions scheduled from it; editing an existing session's Restrict to tag field to No restriction clears it for that session alone. Open the session's detail panel and check the Restrict to tag field to confirm its current value.
A class shows a badge but I didn't mean to restrict it. Check the class type it was scheduled from — if the class type has a tag restriction set, every new session inherits it by default. Either clear the restriction on this specific session (edit it and set Restrict to tag to No restriction), or clear it on the class type so future sessions stop inheriting it.
