This page explains how to manage a retail product catalog, adjust stock, and record in-person sales in Agon.

Before you start

Only studio managers can access Products in the left sidebar. This feature has no client-facing surface — clients never see the product catalog or sales history from their own app.

Agon's POS/Retail feature is record-keeping only, not a payment processor. It does not charge a card, connect to Stripe, or run a live checkout of any kind. You still take payment the way you always have — cash in the till, or your studio's own card terminal — and then log what was sold in Agon afterward so it shows up in inventory and reports.


Overview

A product is anything you sell at the front desk outside of memberships and classes — protein bars, water bottles, branded apparel, and so on. Each product has a name, an optional SKU, a price, and a stock quantity that Agon tracks for you.

When you make a sale, you record it against one or more products and Agon deducts the quantities sold from stock automatically. Sales can be tied to a client or left as a walk-in.

Managing the product catalog

  1. Go to Products in the left sidebar.
  2. Click Add Product.
  3. Fill in:
    • Name — e.g. "Protein Bar"
    • SKU (optional) — your own internal code, e.g. "PB-001". Leave it blank if you don't use SKUs; two products can both have no SKU without conflicting, but if you do set one, it must be unique across your catalog.
    • Price
    • Initial Stock — how many units you currently have on hand
  4. Click Save.

The product appears in the list with its current stock level and an Active / Inactive badge.

Editing a product

  1. Find the product in the list and click to edit it.
  2. Update Name, SKU, Price, or Active status as needed.
  3. Click Save.

Editing a product does not change its stock quantity — stock only ever moves through Adjust Stock (see below), never through the edit form. This keeps stock changes auditable and prevents an edit from accidentally wiping out a count someone else just updated.

Adding a product photo

  1. Find the product in the list and click to edit it.
  2. Click the photo icon and choose an image.
  3. The photo uploads automatically and replaces any previous photo for that product.

Photos can only be added while editing a product, not while creating one — the product needs to already exist first. Accepted file types are JPEG, PNG, and WebP, up to 5MB. Once uploaded, the photo appears as a thumbnail next to the product's name in the list.

Deactivating a product

  1. Find the product in the list and click Deactivate.
  2. Confirm.

Deactivating a product removes it from the list of products available to sell — it can no longer be added to a new sale. It does not delete the product or its sales history, and its stock count is preserved in case you reactivate it later by editing it back to Active.

Adjusting stock

  1. Find the product in the list and click Adjust Stock.
  2. Enter an Adjustment — a positive number to add stock (e.g. a restock delivery) or a negative number to remove it (e.g. correcting a count after a stock take).
  3. Optionally enter a Reason (e.g. "Restock delivery" or "Damaged unit").
  4. Click Apply Adjustment.

The adjustment is always a delta — added to or subtracted from the current stock — rather than a value you set the total to directly. This matters if two people are adjusting the same product's stock around the same time: with a delta, both adjustments apply cleanly on top of each other, whereas an absolute "set stock to N" from two people at once would silently overwrite one of them. If an adjustment would take stock below zero, Agon rejects it and leaves the current stock unchanged.

Recording a sale

Use this after you've already taken payment in person — at the till, by card terminal, or however your studio handles it — to log what was sold and keep stock accurate.

  1. Go to Products in the left sidebar.
  2. Click Record Sale.
  3. Add one or more products to the sale and set the quantity for each.
  4. Optionally search for and select a Client — this is entirely optional. Leave it blank for a walk-in sale with no client attached.
  5. Choose the Payment Method: Cash, Card, or Other. This is a label for your own records — Agon does not process the payment itself.
  6. Optionally add Notes.
  7. Click Record Sale.

Agon computes the total from each product's current price at the time of sale and deducts the quantities sold from stock. The price and total are always calculated by Agon itself, not something you type in — you only choose which products and how many.


What if something goes wrong?

A product is missing from the "Add products" list when recording a sale Only active products can be sold. Check that the product hasn't been deactivated — reactivate it by editing it back to Active.

Agon won't let me record a sale because of stock If a product doesn't have enough stock for the quantity you're trying to sell, the sale is rejected entirely — nothing is partially recorded and no stock is deducted. Adjust stock first (e.g. after a delivery) or reduce the quantity, then try again.

A stock adjustment was rejected Agon won't let an adjustment take a product's stock below zero. Double-check the current stock shown on the product and enter a smaller negative adjustment if you're correcting a count.

I can't reuse a SKU I just removed from a product SKUs must be unique across your active and inactive products alike. If another product still has that SKU, either give the new one a different SKU or clear the old product's SKU first by editing it.
