AI Action Mode
This guide explains how to use Action Mode to perform real actions in Agon — creating or cancelling a class, booking or checking in a client, assigning a membership, pulling a report, and more — by typing a plain-language request to the AI assistant, instead of using the regular screens.
Before you start
Action Mode is only available to the studio manager account — instructors do not see it. It requires the AI Assistant to already be set up and configured for your studio. Depending on which action you ask for, you also need the relevant data already set up (for example, an active class template and location before asking it to create a class), since the assistant needs something to match your request against.
What Action Mode does
With Action Mode off, the AI assistant only answers questions — see AI Support Assistant. With Action Mode on, it can also perform one of twenty-one actions for you when you describe it in plain language:
| Action | Example request |
|---|---|
| Create a class | "Crea una classe di Yoga Flow mercoledì prossimo alle 18:00 a Milano con Elena, un'ora" / "Schedule a Pilates class next Friday at 9am at the Downtown location, 45 minutes" |
| Cancel a class | "Cancel the pilates class on Friday" |
| Book a client into a class | "Book Maria Rossi into tomorrow's 6pm Yoga Flow class" |
| Cancel a client's booking | "Cancel Maria's booking for Friday's spin class" |
| View a class roster | "Who's booked into tomorrow's 6pm Yoga Flow class?" |
| Check in a client | "Check in Maria Rossi for the 6pm Yoga Flow class" |
| Create a new client | "Create a new client called Mario Rossi, mario@example.com" |
| Assign a membership to a client | "Assign the Pack membership to Elena starting today" |
| Pull a report | "What was our revenue last month?" (attendance, revenue, membership, or retention) |
| Create a tag | "Create a tag called VIP" |
| Assign a tag to a client | "Assign the VIP tag to Marco Verdi" |
| Issue a gift card | "Issue a €50 gift card for Sara Conti" |
| Create a promo code | "Create a promo code SUMMER20, 20% off, valid until 2026-09-30" |
| Create a product | "Add a new product: Yoga Mat, price €25" |
| Create a location | "Create a new location called Downtown" |
| Create a class type | "Create a new class type called Spin Advanced, 45 minutes, capacity 12" |
| Create a waiver | Paste the exact title and full legal text you want clients to sign, and ask the assistant to create it as a waiver |
| Create an instructor account | "Create an instructor: email elena@example.com, password [your choice], full name Elena Bianchi" |
| Create a staff account | "Create a staff member: full name Giulia Rossi, email giulia@example.com, password [your choice], role Front Desk" |
| Generate an invoice | "Generate an invoice for the payment Marco made yesterday, tax rate 22%" |
| Create a marketing automation | "Create a marketing automation called Welcome Series, triggered when a client is created, one email step using the Welcome Email template" |
The assistant reads your request, matches the class type, location, instructor, client, tag, role, payment/sale, or template you named against what's already set up in your studio, and performs the action immediately once every required detail is clear.
What Action Mode does NOT do
- It never guesses a location, instructor, class type, client, tag, role, payment/sale, or template it isn't sure about. If your request is ambiguous (for example, two instructors with similar names) or missing a detail, it asks a follow-up question instead of acting on anything.
- It only performs the twenty-one actions listed above. Anything else — creating a new role, deactivating or removing a staff member, editing staff pay, configuring studio settings, editing an existing class type, and so on — must still be done from the regular screens; the assistant will explain that it can't do it through chat.
- It never invents a date, time, tag name, promo code, or any other value. If it cannot work out what you mean, it asks you to clarify rather than filling in a typical or random value. Assigning a tag to a client requires the tag to already exist — if you name a tag that doesn't exist yet, the assistant tells you and asks whether you want to create it first, rather than creating it automatically.
- It never writes any part of a waiver for you. A waiver is a real document your clients sign, so the assistant only creates one when you paste the exact title and the complete text yourself in the chat — it will never draft, shorten, translate, or "clean up" the wording on its own. If you ask it to create a waiver without giving the full text, it asks you to paste it instead of guessing.
- Creating an instructor or staff account uses the password you type in chat, exactly as typed. The assistant doesn't generate one for you. Since that message passes through the AI assistant like any other request, the password text is included in the conversation sent to the AI provider and is kept in your local chat history for the usual retention period (up to 30 days) — the same as anything else you type in Action Mode. If you'd rather not have a password pass through chat, set or change the account's password afterward from the regular Instructors or Staff screen instead.
- Creating a staff account requires you to name an existing role. The assistant will never invent a new role, and it will never guess between two similarly-named roles (for example "Front Desk" vs. "Front Desk Lead") — if the role you named doesn't exist or matches more than one, it asks you to check the name or create the role first from Settings, rather than picking one for you. It also never defaults to a particular role (like Manager) if you don't name one.
- Generating an invoice always points at an existing payment or product sale — never a typed-in amount. Tell the assistant which client and, if needed, which date so it can find the exact record; it never invents or guesses which payment/sale you mean. If you don't give a tax rate, it uses your studio's default VAT rate automatically.
- A marketing automation created through the assistant is always saved paused. Even if you ask for it to be active right away, it's created in a paused state and does nothing until you manually turn it on from the Marketing Automations screen — this is a deliberate safety measure so the assistant can never start messaging real clients on its own. Each step's message template must also already exist; the assistant never invents a new template for you.
- Before cancelling a booking, issuing a gift card, creating a staff account, or generating an invoice, it always describes what it's about to do and asks you to confirm ("Shall I proceed?") — it never performs any of these four actions without that explicit confirmation, since they involve real monetary value, a real login, or a real tax document. Every other action (creating/cancelling a class, booking, checking in, creating a client, assigning a membership, creating a tag, assigning a tag, creating a promo code, creating a product, creating a location, creating a class type, creating a waiver, creating an instructor, creating a marketing automation) does not ask for confirmation — it acts immediately once every required detail is unambiguous.
- It only discusses Agon itself and your studio's own data. It declines general-knowledge questions unrelated to the product, even if it could technically answer them.
How to use it
-
Open the AI assistant by clicking the round chat button (💬) in the bottom-right corner. [SCREENSHOT: The floating chat button in the bottom-right corner of the Agon desktop app]
-
In the chat panel header, turn on the Action mode switch. [SCREENSHOT: The Action mode toggle in the chat panel header]
-
Type your request in plain language, including whatever details apply to the action — for a class, that's the class type, location, instructor, day, time, and duration; for a client action, the client's name or email; and so on. The more detail you give, the fewer follow-up questions you'll get. [SCREENSHOT: An example Action Mode request typed into the chat input]
-
Press Send or Enter.
-
If anything is missing or ambiguous, the assistant asks a follow-up question. Answer it in the same chat and press Send again.
-
Once the action is performed, the assistant confirms it with a green "Action completed" message summarizing what was done. The exceptions are cancelling a booking, issuing a gift card, creating a staff account, and generating an invoice: for these four, the assistant first asks you to confirm in plain text before it acts. [SCREENSHOT: The green confirmation banner after an action is successfully performed]
-
The result appears immediately on the relevant screen — a new class on the Calendar, a new booking or check-in on the class roster, a new client in Clients, an updated membership, and so on — exactly as if you had done it through the regular form.
Frequently asked questions
Does it ask me to confirm before acting? Only for cancelling a booking, issuing a gift card, creating a staff account, or generating an invoice — it always describes what it's about to do (for a staff account, including the exact role it's about to grant; for an invoice, the payment/sale and tax rate) and waits for you to say "yes" (or "sì", "oui", etc.) first. Every other action (creating/cancelling a class, booking a client, checking someone in, creating a client, assigning a membership, pulling a report, creating a tag, assigning a tag, creating a promo code, creating a product, creating a location, creating a class type, creating a waiver, creating an instructor, creating a marketing automation) happens immediately once every required detail is unambiguous, with no separate confirmation step.
What if I made a mistake in what I typed? The result is created just like anything else you'd make through the regular screens — open the relevant page (Calendar, Clients, Memberships, etc.), find it, and edit or cancel it the normal way.
Can it create recurring classes? Not yet — Action Mode creates a single scheduled class per request. Use the regular recurring-class form on the Calendar screen for repeating schedules.
Can it ask for something not in the list of twenty-one actions? No — if you ask for something outside create/cancel class, book/cancel a booking, view a roster, check in a client, create a client, assign a membership, pull a report, create a tag, assign a tag, issue a gift card, create a promo code, create a product, create a location, create a class type, create a waiver, create an instructor account, create a staff account, generate an invoice, or create a marketing automation, the assistant explains in plain text that it can't do that through chat, instead of trying to force it into one of the existing actions.
What if something goes wrong?
The Action mode switch doesn't appear Action Mode is only visible when you're logged in as the studio manager. If you're logged in as an instructor, it will not be shown.
The assistant keeps asking which class type / location / instructor / client I mean This usually means the name you typed matches more than one item, or none at all. Check the exact spelling against what's set up in Class Types or Clients, and try again.
The assistant says it performed the action, but I don't see the result Refresh the relevant screen. For a class action, also check that you're viewing the correct location and week on the Calendar.
