Running online classes with Zoom

After reading this page, you'll be able to connect your own Zoom account to Agon and mark a class "Online" so Agon automatically creates and manages the Zoom meeting for it — clients get a join link, and you and your instructor get a separate host link to start the meeting.

Before you start

  • You need your own Zoom account. This works with any Zoom plan, including the free Basic plan — unlike some other integrations, Agon does not require a paid Zoom plan.
  • Only the studio manager can connect or disconnect Zoom, from Settings → Zoom.
  • Only a single (non-recurring) class can be marked online. See "Why can't I mark a recurring class online?" under What if something goes wrong? below.

Step 1: Connect your Zoom account

  2. Click Connect with Zoom. This opens Zoom's own login and authorization page in your computer's regular web browser — not inside the Agon app itself.
  3. Log in to Zoom (if you aren't already) and approve the connection.
  4. Zoom shows a simple "connected, you can close this tab" confirmation page. Close that browser tab and return to Agon.
  5. Back in Agon's Settings → Zoom tab, you'll now see Connected, along with the email address of the Zoom account you just connected. [SCREENSHOT: Settings → Zoom tab showing "Connected" and the connected account's email]

You only need to do this once. Agon keeps the connection active in the background, refreshing it automatically as needed.


Step 2: Mark a class "Online (Zoom)"

  1. Go to the Calendar and either click Schedule class or open an existing scheduled class to edit it.
  2. Make sure you're creating or editing a single class, not a recurring series — the online option is not available for recurring classes (see What if something goes wrong? below).

  4. Fill in or confirm the rest of the class details as usual, then click Schedule class (or Save, if editing).

Agon automatically creates a real Zoom meeting for that class's date and time — you don't need to set anything up on Zoom's side yourself. If you later change the class's start or end time, the Zoom meeting is rescheduled to match automatically, with no extra action needed from you.

Once the meeting is set up, opening the class again shows:

  • Join link — the same link your clients see on their booking.
  • Start meeting — a separate host link, for you or the instructor to start the meeting. This host link is never shown to clients.

What clients see

  • Before booking, a client browsing the schedule sees an Online badge on the class, both on the calendar (desktop) and the class detail screen (mobile app).
  • After booking, their booking confirmation includes a Join on Zoom link (desktop and mobile), which opens the meeting directly.

Clients only ever see the join link — never the host "start meeting" link.


What if something goes wrong?

A class shows "Zoom setup failed" If Zoom is briefly unreachable at the moment you create or edit an online class, Agon still creates the class normally — your work is never lost or blocked. The class shows a Zoom setup failed notice with a Retry button. Click Retry to try creating the meeting again; this usually succeeds once Zoom is reachable again.

I disconnected Zoom (or revoked access from my Zoom account) — what happens to my existing online classes? Nothing changes for classes that already have a Zoom meeting — their join links keep working exactly as before. Disconnecting only affects the future: any new class you mark online, or any reschedule of an online class, will fail (showing the same "Zoom setup failed" state) until you reconnect Zoom.

Why can't I mark a recurring class online? This is a deliberate limitation in this version, not a bug. Recurring classes can generate many individual occurrences (up to a year's worth in one series), and creating that many Zoom meetings all at once isn't something Agon supports yet. If you want a recurring online series today, create each occurrence as an individual online class instead.

I don't see the Zoom tab in Settings The Zoom tab is available to every studio manager — if it's missing, make sure you're logged in as a manager account, not an instructor.

Clients say the join link doesn't work Check the class in the Calendar view — if it shows "Zoom setup failed," the meeting was never created; click Retry. If the meeting shows as active, confirm the class hasn't since been cancelled.


Frequently asked questions

Does this work with a free Zoom account? Yes. Agon's Zoom integration works with any Zoom plan, including the free Basic plan — this is by design, not a limitation you need to upgrade around.

Can I mark a recurring class online? Not in this version — see "Why can't I mark a recurring class online?" above. Create each occurrence as an individual online class if you need a recurring online series.

What happens to the Zoom meeting if I cancel the class? Agon deletes the Zoom meeting for you (best effort) when you cancel the class or turn off "Online (Zoom)" for it.

Who can start the Zoom meeting? You (the studio manager) or the instructor, using the "Start meeting" host link shown when you open the class. Clients never see this link — they only get the "Join on Zoom" link.

Do I need to reconnect Zoom periodically? No — Agon keeps your connection refreshed automatically. You only need to reconnect if you explicitly disconnect Zoom in Agon, or revoke Agon's access directly from your Zoom account.
