Managing Clients

This page explains how to find, view, and manage your client list in Agon.

Navigation label — Clients: EN: Clients · IT: Clienti · FR: Clients · DE: Kunden · ES: Clientes · PT: Clientes · NL: Klanten · PL: Klienci · TR: Müşteriler

Browsing and searching clients

Go to Clients (IT: Clienti) in the left sidebar to see your full client list.

To find a specific client:

  • Search — type a name or email in the search bar. IT: Cerca per nome o email
  • Filter by status — use the status filter to show active or inactive clients

Viewing a client profile

Click on any client's name to open their profile. A client profile shows:

  • Name, email, phone — personal information
  • Status — Active (IT: Attivo) or Inactive (IT: Inattivo)
  • Bookings tab — all past and upcoming bookings. IT: Prenotazioni
  • Memberships tab — active and past memberships. IT: Abbonamenti

Editing a client profile

  1. Open the client profile.
  2. Click Edit (IT: Modifica).
  3. Update the Name (IT: Nome) or Phone (IT: Telefono).
  4. Click Save (IT: Salva).

A client's email address cannot be changed — it is their login identifier.

Assigning a membership to a client

  1. Open the client profile.
  2. Go to the Memberships tab (IT: Abbonamenti).
  3. Click + Assign membership (IT: + Assegna abbonamento).
  4. Select the Membership type (IT: Tipo abbonamento).
  5. Set the Start date (IT: Data di inizio).
  6. Click Assign (IT: Assegna).

Adding a new client

There are two ways a client ends up in Agon:

  • The client registers themselves. From the mobile app, they scan your studio's QR code (or enter your studio's address manually) to connect to your studio, then create their own account with a name, email, and password on the app's Create account screen. This needs nothing from you — share the QR code from Settings → Mobile and they can register and book classes immediately.
  • You add the client yourself. Click + Add client (IT: + Aggiungi cliente) in the Clients section, fill in their Full name and Email (optionally Phone), and click Create. Agon creates the client with no password and emails them an invitation link to set one — and texts them too, if your studio has SMS enabled and you entered a phone number. The client can't log in until they follow that link.

If the invitation email can't be sent (for example, your studio's email isn't configured yet), Agon still creates the client and shows "Client created but email could not be sent — check email settings". There's no button to resend the invitation from this screen — once your email settings are working, ask the client to use Forgot password on the mobile app's login screen instead; it sends the same kind of link.

Deleting a client (GDPR)

Under GDPR, a client has the right to request deletion of their personal data. In Agon, "deleting" a client replaces personal information with anonymous placeholders while preserving booking and payment records.

  1. Open the client's profile.
  2. Click Delete client (IT: Elimina cliente).
  3. Confirm the action.

This action cannot be undone.

What if something goes wrong?

I can't find a client Search by email address — it is always a reliable identifier.

A client can't log in Ask them to use the Forgot password option in the mobile app login screen.
